  1. Preliminaries:
    1. These items will be produced, not updated. They will need barcodes, and they will need to be inscribed.
    2. Paperbacks will not be bound. Please catalog them unbound, and place the barcode near the upper right hand corner of the first page inside the front cover.

  2. Always begin by searching DRA for copy and edition information.
    1. Copy information: If the item in hand is an added copy, put a slip of paper in the book stating this fact, and route the item for the book sale.
    2. Edition information: If the item in hand is an earlier edition to one the Library already holds, put a slip of paper in the book stating this fact, and route the item for the book sale. If the item in hand is a later edition to one the Library already holds, catalog it.

  3. Search DRA for series information. (Refer to the Series section of the Copy Cataloging Guidelines page for instructions on series searching.)

  4. Search OCLC for the bibliographic record.

  5. Edit the OCLC bibliographic record as necessary.
    1. Don't bother bringing the punctuation up to AACR-2 standards.
    2. Call number: Many of these records will be older ones. Please watch for punctuation or spacing errors.
    3. 049 field: Please enter "NODW" for Wilson Annex.
    4. 245 field: Beware bracketed information. Such information can render the item unfindable by title search, unless the user actually enters the bracketed string (which is unlikely, as the brackets signify that the information therein contained does not appear on the piece).

      Example: 245 10 1818 [i.e. achtzehnhundert achtzehn] bis...

      An item such as this is not retrievable in DRA by the title search "t=1818 bis...". Please create a 246 3- (that's a 1st indicator 3 and a 2nd indicator blank) field with the spelled out form of the number, and delete the bracketed information from the 245 field. Thus:

      245 10 1818 bis...
      245 3- Achtzehnhundert bis...

      Please do the same for any bracketed information (such as corrections for typographical errors in the item itself) which the record contains in the 245 field.

    5. 4xx field:
      1. If the item contains a series statement, make sure there is a 4xx field which contains the statement exactly as it appears on the piece.
      2. Furthermore, if the series in the item matches the 1xx field in a series authority record either in DRA or OCLC, make the 4xx a 440 -0.
      3. However, if the series in the item matches a 4xx field in a series authority record either in DRA or OCLC, make the 4xx a 490 1- and create an 830 -0 with the form of the series that appears in the authority record's 1xx field.
      4. If the series in the item is an obvious variation of the established heading found in the series authority record (e.g., the series statement on the piece has an ampersand ("&"), while the established heading has the word "and"; or the series statement on the piece has a numeral ("3"), while the established heading has the spelled out form ("three")), but there is no 4xx in the series authority record for the form on the piece, make the 4xx a 490 1- and add the authorized heading in an 830 -0 field (if an 830 -0 for the established heading does not already exist in the record).

  6. Paper trail:
    1. Make a blue slip for each item produced. Include the call number, brief title information, copy and volume information, your initials, and the capital letter "P" (for "produced").
    2. Because these items are not in Innopac, Acquisitions does not need to be notified (that is, no slip need be placed in the box slips to go to Acquisitions).
    3. No printout is needed.

  7. Uncataloged items (those with no usable copy in OCLC) should be put on the truck marked "Books to be routed". Because these items are not in Innopac, they cannot be backlogged, and must therefore be routed to the Backlog unit or to Monographic Cataloging.
