On conversion to DRA, it was decided that the logical place for circulation information for analyzed titles was on the analytic record rather than the cover record. Item records are therefore not needed on the cover record and it is possible to begin using a summary holding field. Summary holdings for analyzed sets, patterned after those on serial records, will mean less maintenance of cover records and a more uniform look to holdings displays.

Rather than using 853/863 pairs, a single 866 field lists all analyzed volumes of the set and directs users to search the analytic record for circulation information. Copy numbers and piece specific notes are ignored. See the examples that follow for suggested note formats.

Notice in the example for partially analyzed sets that DRA currently ignores the sequence number in the 866 field and always displays this field last. In hopes that this will be corrected in future releases, use the sequence number that would result in the ideal ordering of holding information.

The sequence number is NOT read by DRA as a whole number, thus we can only use numbers 1-9. A sequence number of 10 is displayed between lines 1 and 2 in an ASCII sort pattern. In the MFHL fixed field use Type: v ; Copies: 001 ; S/C copy: O

New cover recordsfor analyzed sets should be added with summary holdings. Unfortunately, this cannot be done directly through OCLC. If the 049 field is produced simply as |c 1, holdings can be added on DRA after the MFHL record loads.

Some time will need to be invested when converting a cover record already on DRA from the detailed holdings format to summary holdings. In order for the suggested searches to work, the links between the cover and analytic records must be correct.

1. Check call numbers for correct coding; regularize spacing and designators.
2. Assure series access through uniform use of 4XX/8XX fields.
3. Move barcodes and circulation information in the associated item records from the cover record to the analytic records.
4. All analytic titles must have records on DRA. Catalog backlogged titles; have unconverted titles retroconned or cataloqed.
